To use these helpful tools and manage your referrals from one central location, add external referrals to PicassoMD.

Adding a Manual Referral (Step-by-Step):
- Log into the web application with your unique login credentials and navigate to the referrals page.
- Click "Add External Referral". A form will pop up to the left.
- Add the first name, last name, and date of birth. At least one form of patient contact information is required (phone or email). However, you may add both.
- Once you've entered the patient demographics, select the referral acuity (Routine, Urgent, or Emergent), and enter the date your practice received the referral. This could be the fax date, date the patient called, etc.
- You can enter the initiating provider's information if you have it. If the initiating provider has an account with PicassoMD, we'll add the referral to their dashboard so they can view it.
- Next, choose the "Receiving provider or practice"— this is whoever will see the patient.
- Please note that if you choose "Anyone at the practice", and it is multi-specialty, you will have to select the specialty needed by the patient.
- Lastly, please add the reason for the referral and click "Save"!
Editing External Referrals (Step-by-step):
- All added external referrals will show up in the referral dashboard. If you need to edit any of the information in an external referral, go to the referral details page and click "Edit referral".
- You can only edit the patient's first name, last name, date of birth, contact info, and the initiating provider's email. If you want to change the receiving provider, click "reassign" next to "Referral Path".
Notifications:
- If you add an initiating provider's email, we will let them know you have added the external referral to PicassoMD. There is no action required on your part.
- We'll send a notification to the receiving provider letting them know they have a referral.
- We will send you a notification to outreach to the patient and confirm the visit has been completed via the Update Feed.
FAQs:
Why can't I save an external referral?
- Please make sure you have added all of the required information. If any required information is left blank, you will be unable to save the referral. Once you've entered the necessary information, the "Save" button will turn blue and you can save the referral.
How can I tell the difference between a normal referral and a referral we added from an external source (e.g. fax, phone call, web form, etc.)
- You will see "External Referral" at the top of the referral details page.
How can I change information on an external referral e.g. I misspelled the patient's name, want to add an email, etc.?
- Easy! Select the referral you want to edit in the referral dashboard. Once you're on the referral dashboard, click "Edit Referral" at the top of the page.
Can I add a referral without the initiating provider's information?
- Yes! It is totally unnecessary to add an initiating provider's information, but it does help your practice keep track of major referral sources.
What happens if I add an initiating provider's information?
- We will also let the provider know that their referral has been uploaded to PicassoMD. If the initiating provider has an active account with PicassoMD, the referral will show up in their referral dashboard.
