Overview: This article will provide an overview of the 'Referral Navigation' feature. This tool will help you take the guesswork out of referrals, so you can focus on the next task.

With Referral Navigation, you can send referrals directly to PicassoMD from your EMR.

We'll use your favorites, your practice favorites, network information, and patient demographics, like insurance and location, to select the provider that best fits your patient's needs.

From there, PicassoMD will send the referral to the patient for their confirmation.

Step-by-Step for Providers:

  • Step 1: Send your referral directly to PicassoMD via direct message email from your EMR
  • From there, we will ensure your patient is matched to the best possible specialist using your preferences:
    • Your Favorites
    • Practice Favorites
    • Network Preferences
    • Patient Demographics
    • Distance to Patient
  • After the referral is sent to your patient, they will receive a text message and/or email with the Top Recommended Specialist. They can either respond “1” to select that provider or “2” to view other providers. 

Patient View:

  • If your patient replies 1 to confirm they plan to schedule an appointment with their top recommended specialist, they will receive a confirmation text shortly after replying.
  • Image
  • If they reply 2 to see a list of other recommended specialists, they will receive a link via email/text.
  • After clicking on the link, they'll be taken to a welcome page where they can get started. From there, they'll be able to filter and view other recommended specialists.
  • Once your patient has confirmed their desired specialist, they will receive a confirmation text message and/or email with the specialist's office details to schedule their appointment.

Feature Notes:

  • When your patient receives the text message with their top recommended specialist, they can either respond “1” to select that provider or “2” to view other providers. 
    • If your patient responds with anything OTHER than “1” or “2”, they will receive an invalid response text. 
    • If the referral is emergent, urgent, or routine PicassoMD will send a reminder text at 6 hours, 6 hours, and 12 hours, respectively. 
    • If your patient fails to take action on the referral, PicassoMD will automatically send it to the Top Recommended Specialist when the time has run out.
    • *These also apply to emails.
  • Welcome Screen: Your patient will be taken to a welcome screen after clicking on the link to see other specialists. This screen including the practice logo, the practice name, the patient’s name, and the referring provider’s name.
    • Pro Tip: Be sure to include your practice's logo on PicassoMD for extra personalization

Sending Multiple Referrals:

  • The flow will be slightly different when sending multiple referrals within a short period of time (within 5-10 minutes)
  • The last screen will not show the thumbs up/thumbs down survey for patients until they have gone through the last referral navigation
    • Instead, it will automatically pull patients into the next referral
